Industrial Invoice Manager: From Spreadsheets to a Real System
A secure, full-stack invoicing portal that replaced manual spreadsheet billing with authenticated sessions, custom project calculations, and exportable client invoices.
The Challenge
Once the SmallScapes marketing site was live, the same client hit the next real bottleneck: billing. Every project quote (pavers, stone, labor, delivery) was being tracked manually and invoiced by hand -- workable at low volume, but a growing landscaping business needs administrators to be able to declare project inventories and generate accurate client billings without a spreadsheet falling out of sync with reality.
The Solution
We built a dedicated invoicing portal: administrators log in through an authenticated session, declare a project's line items (materials, labor, delivery), and the system calculates the total automatically instead of relying on manual arithmetic. Every invoice is tracked with a real status (Pending, Paid) and can be securely exported for the client's own records -- a real database-backed workflow, not a shared spreadsheet with editable formulas anyone could break.
The Result
The portal now handles real client billing end-to-end. One representative invoice from the live system: Invoice #1089, covering 1 Ton of Stone and Pavers, totaling $10,800.00 and marked PAID -- a real transaction processed through the system, not a demo placeholder.
